What belongs in a backlink placement report

Keep outreach activity, publisher decisions, and observable placements separate in reporting.

A placement report should make it possible to understand what the team did and what publishers chose to do. Those are related, but they are not the same. A list of outreach attempts is not a list of live references, and a live reference does not by itself prove a business result.

Use separate sections for completed work, responses, live placements, and unresolved follow-up. This is especially important when the purchased scope is a research and outreach sprint rather than a promised number of links.

Keep the activity section specific

Report prospects researched, pitches prepared, outreach sent, and replies received under their actual definitions. If several contacts belong to one publication, do not silently count them as several publishers. If a reply is an automated acknowledgement, distinguish it from editorial interest.

For a declined pitch, record useful feedback when available. A publisher may like the topic but need a different source, format, or timing. That is information for the next decision; it should not disappear because it is not a placement.

Avoid unsupported impact claims

A report can show observed referral activity when measurement supports it. It should not assign a ranking improvement or a sale to a placement solely because the events happened in sequence. Describe the evidence and its limits.

End with the decision the report supports: improve the resource, revise the pitch, pursue a different audience, or continue a productive approach. A clear report should help the owner decide where effort belongs next, while providing a transparent account of the work already delivered.
