A publisher relevance worksheet for your next outreach sprint

Evaluate the audience and editorial fit before investing time in a pitch.

Use evidence beside each rating

CriterionEvidence to recordRating
Audience relevanceTwo recent pieces addressing the intended reader0–2
Topic fitA current editorial topic your resource informs0–2
ContributionThe information you add that is currently missing0–2
Editorial routeA legitimate submission or contact path0–2
Resource readinessA usable, supported asset available to inspect0–2

Use zero for absent evidence, one for plausible but incomplete evidence, and two for direct support. Keep the raw notes. A total without the reasons behind it is difficult to review.

Treat some concerns as gates

Do not let a high total cancel out a fundamental mismatch. If the publication does not accept the type of contribution you are offering, the contact path is inappropriate, or the resource contains unsupported claims, resolve the issue before outreach. A weighted average cannot repair those problems.

Consider a resource on the cost of equipment downtime. A specialist maintenance publication with current coverage of reliability may offer a clearer editorial fit than a broad business site with a larger audience. The useful comparison concerns the reader’s problem and your evidence, not just the size of the outlet.

Calibrate after the sprint

Review a sample of contacted and uncontacted prospects with another person. Ask whether the same evidence produced similar judgments. If everyone interprets “topic fit” differently, rewrite the criterion before adding more records.

After the sprint, compare the initial rationale with actual responses. An editor may explain that the topic is relevant but the resource is too promotional, or that a different format would be useful. Record that feedback in plain language. Use it to improve the asset and future prospect selection, while keeping placement outcomes separate from the amount of work completed.

For the next implementation step, use Evaluate a directory listing for referral value.

For the next implementation step, use Assess a partner resource exchange on reader value.
